Anatomy of a Typical Ingredient Specification Sheet

Product identity: Name, INCI name (for cosmetic positioning), CAS number, synonyms, chemical formula.

Physical characteristics: Appearance (colour, form), odour, particle size range, bulk density (relevant for volumetric dosing and packaging fill weight).

Chemical specifications: Assay/purity range (e.g. "Protein ≥80% on dry matter basis"), moisture specification, fat content (for dairy proteins), specific gravity (for liquid ingredients).

Microbiological limits: Total Aerobic Plate Count (TAPC), yeast and mould, coliforms, specific pathogen absence (Salmonella, E. coli at defined threshold).

Heavy metals limits: Lead, arsenic (total and/or inorganic), cadmium, mercury — expressed as ppm or mg/kg maximum limits.

Regulatory declarations: FSSAI compliance confirmation, GRAS status, Codex INS number, Halal/Kosher certification if applicable.

Comparing Spec Sheets Between Suppliers

When evaluating two spec sheets for the same ingredient from two different suppliers, these are the questions that matter:

1. Are the analytical methods specified? A protein content result by Kjeldahl method and by DUMAS method will both give a protein % — but they measure slightly different things. "Protein ≥90%" from one supplier using Kjeldahl and "Protein ≥90%" from another using DUMAS may not be directly comparable. Ask which method is used.

2. Are the specification limits tighter or wider? Wider limits are not automatically inferior — if a limit of "Moisture ≤7%" versus "Moisture ≤5%" both meet your formulation needs, the difference may not matter. But if you need tight moisture control for a hygroscopic blend, the tighter spec is meaningfully better.

3. Which parameters does each supplier test, and which do they omit? A spec sheet that lists heavy metals testing demonstrates a quality commitment; a spec sheet that omits it requires you to ask whether testing is done at all and how to get those results.

4. Are "typical" values stated, or only specification limits? A supplier that shares typical values (not just limits) gives you more information for formulation planning — you can estimate expected performance rather than just worst-case.

Parameters to Compare for Specific Ingredient Categories

For protein ingredients (WPC, WPI, pea protein, etc.): Key comparisons: Protein % on dry matter basis (method stated?), Moisture %, Fat %, Ash %, Lactose % (for dairy), Amino acid profile (full profile or key amino acids), microbiological limits.

For amino acid ingredients (creatine, BCAAs, carnitine): Key comparisons: Assay % (as the specific compound), Specific optical rotation (confirms L-form for chiral amino acids), Heavy metals panel, Residual solvent declaration.

For food additives (citric acid, xanthan gum, potassium sorbate): Key comparisons: Assay %, INS number confirmation, Codex/JECFA compliance statements, microbiological limits.

Buyer Checklist

  • Spec sheet obtained and reviewed before placing a first order
  • Analytical methods confirmed for key parameters (protein, assay)
  • Heavy metals testing parameters confirmed (not just stated limits, but actual test performance)
  • Batch-specific COA requested for every shipment — spec sheet alone is not sufficient
  • On first order: spec sheet limits compared against actual COA values to assess supplier's typical performance relative to their own specification
